Responsibilities

Job Summary:

The Executive Coordinator is responsible for providing administrative and organizational support to Administrative Executives including President of Chattanooga Heart Institute, VP of Cardiac Services, along with the Executive Staff of Memorial Heart Institute. This position is responsible for the management and supervision of Executive support operations of Chattanooga Heart Institute. This position is responsible for management of overall office process/services, anticipation and planning for continuous change/growth of office, problem identification and resolution on a daily basis.

Job Summary:

  • Knowledge of organizational policies, procedures, systems and objectives.

  • Skills in developing and maintaining effective relationships with hospital executives, board of directors, employed and other physicians, other medical and administrative staff, office managers, co-workers, and employees.

  • Leadership skills to include employee engagement, relationship building, decision making, conflict resolution, and critical thinking.

  • Exceptional skills in meeting planning, preparation follow up and minute taking for Board of Directors, Board Committees, Division, and local office meetings and all co-management meetings.

  • Excellent problem identification/resolution, sound judgement, and decision making skills.

  • Ability to balance numerous diverse assignments simultaneously.

  • Ability to orchestrate large meetings, classes, retreats, and events for executives, physicians, and others requiring event planning and coordination expertise to include catering planning, presentation flow, venue set up, materials compilation, and guests and speaker preparation.

  • Ability to lead a team of assistants in creating a cohesive, well-organized, professional office environment with optimal work-flow.

  • Project management skills such as for completion of policy revision and regular updates, Physician/APP Access Project, Physician Contracts, and any other contractual contracts for Chattanooga Heart Institute.

  • Real Estate Projects, prepares all real estate new and lease renewal intake forms, and coordinates the development of new lease and lease renewal business plans.

  • Provider on-boarding and recruitment logistics.

  • Compliance Education Reporting.

  • Coordinate Director level interviews with local and out of town candidates to include numerous individuals and interview situations. Also includes setting up travel, lodging, and candidate transportation.

  • Tracking of physician meeting attendance for citizenship metrics and all physician moonlighting activities.

  • Prioritizing of all projects, commitments, and requests.

  • Liaison between the PE and other entities, requiring having a pulse on PE activities.

  • Keep an extensive database of all physicians and APPs and regularly update practice listings.

  • Take a leadership role in times of crises, such as a pandemic or cyber security attack. This can include many before and after business hour meetings and collaboration with others.

  • Project assist to Executive Staff of Chattanooga Heart Institute.

  • Direct assist to Medical Directors and physician Leads.

  • The Project Manager is responsible for the coordination, general oversight, and overall success of operational projects for the Chattanooga Heart Institute including but not limited to working closely with strategic planning, finance, national real estate, and operations.

  • The PM will lead implementation of new operational projects developed by Chattanooga Heart/CHI Memorial Administration and facilitate communication and feedback through responsible parties to ensure project success and completion.

  • Capable of handling multiple diverse and complex assignments concurrently.

  • Experience with shifting priorities, demands and time-lines.

  • Manage project teams, define scope, develop and manage project plans and project budgets. (across multiple simultaneous projects.)

  • Facilitate and lead any short-term projects that are presented by the Chattanooga Heart Administrative team and ensure time-lines and objectives are met effectively.

  • Provide assistance to President and VP CVSL, including managing calendar and contact information, scheduling meetings, and coordinating confidential matters concerning attorneys, physicians, business and professional leaders, and other projects as assigned.

  • Prepare expense reports and arrange travel for President, VP CVSL and CVSL Staff through Inside CHI-Business Travel and Expense.

  • Maintain physician personnel files.

  • Arrange physicians evaluations at 6, 12, 18 and 22 months.

  • Work with FIIL; CHI Enterprise Risk Management regarding patient complaints and lawsuits.

  • Arrange annual physicians retreat.

  • Maintain contract files for professional agreements and vendors; scan and create electronic files. Supply copies to CHI Memorial for Meditract.

  • Maintain updated Business Associate Agreements; scan and create files. Supply copies to CHI Memorial.

  • Coordinate board meetings, manager/director meetings, regional manager meetings and physician meetings and record minutes for all necessary )schedule meetings, notify participants, reserve meeting room,k prepare agenda, arrange meal.)

  • Coordinate physician socials.

  • Coordinate weekly executive staff meetings.

  • Coordinate travel arrangements for visiting physician recruits.

  • Supervisor and back up medical staff coordinator along with backup for credentialing purposes.

  • Prepare, distribute, and maintain office policies and procedures.

Qualifications

Education:

  • Bachelor's Degree and minimum of 3 years leadership experience OR minimum of 5 years leadership experience

Pay Range

$21.80 - $36.63 /hour
